Introduction

Welcome to ProfCircles. These Terms of Service ("Terms") are a legally binding agreement between you and ProfCircles governing your access to and use of our website, services, and platform features — whether you are an employer posting jobs or a job seeker searching for opportunities.

By creating an account or using any part of the platform, you confirm that you have read, understood, and agreed to these Terms. If you do not agree, please do not use our services.

These Terms apply to all users of ProfCircles globally. If you are using the platform on behalf of a company, you represent that you have the authority to bind that company to these Terms.

Services for Employers

ProfCircles provides employers with a full suite of hiring tools. When you register as an employer, you get access to:

  • Save and bookmark jobs to revisit later from your personal dashboard
  • Take free skill quizzes across 50+ categories to sharpen your knowledge and prepare for interviews
  • Build a complete profile with work history, skills, education, and portfolio links
  • Track all your applications from a personal dashboard
  • Receive and review job opportunities sent directly by employers through the Candidate Discovery feature, visible on your dedicated Employer Interest page
Always Free: ProfCircles will never charge job seekers for applying, receiving employer interest notices, or accessing any career tool. This commitment is permanent and will not change.

Section 04

Candidate Discovery & Employer Interest

ProfCircles offers a proactive hiring feature called Candidate Discovery that allows employers to search the registered job seeker pool and express interest in suitable candidates without waiting for them to apply first. Both employers and job seekers must understand how this feature works and their respective obligations when using it.

For Employers — How It Works:

  • Employers may search registered job seekers using filters including location, current job title, years of experience, and skills
  • After reviewing a candidate's profile, an employer may select one of their active job listings and send it to the candidate as a formal expression of interest
  • Only active, published job listings may be sent — employers may not use this feature to send unsolicited messages or content unrelated to a genuine job opportunity
  • Candidate profile data accessed through this feature must be used solely for recruitment purposes and must not be copied, exported, or used outside the platform
  • Employers must not use Candidate Discovery to contact candidates repeatedly, harass, discriminate, or engage in any conduct prohibited under Section 06 of these Terms

For Job Seekers — Your Rights:

  • When an employer expresses interest via Candidate Discovery, you will see the job post they have sent on your dedicated Employer Interest page in your dashboard
  • You are under no obligation to respond to any employer interest notice — it is entirely your choice whether to proceed
  • Your email address and direct contact details are never shared with the employer through this feature — all communication remains within the platform
  • Profile fields used for discovery search (location, job title, experience) are drawn from the information you voluntarily provide on the platform

Responsible Use: Candidate Discovery is intended to facilitate genuine recruitment. Any misuse — including bulk outreach, solicitation for non-hiring purposes, or data harvesting — is a direct violation of these Terms and will result in immediate account suspension.

Job seekers can manage all employer interest notices from their Employer Interest page. If you receive a notice you believe is inappropriate or violates these Terms, please report it to our team.

Section 05

Account Responsibilities

To use ProfCircles you must register for an account. By creating an account, you agree to the following:

  • You will provide accurate, current, and complete information during registration
  • You are responsible for maintaining the confidentiality of your password and account credentials
  • All activity that occurs under your account is your sole responsibility
  • You must notify us immediately if you suspect unauthorised access to your account
  • You may not create multiple accounts or impersonate another person or entity
  • You must be at least 18 years old to create an account and use the platform

We reserve the right to suspend accounts where inaccurate or misleading registration information is provided, or where there is evidence of impersonation or misuse.

Section 06

Prohibited Conduct

To keep ProfCircles safe and useful for everyone, the following activities are strictly prohibited. Violations may result in immediate account suspension or permanent ban:

  • Fake or misleading job listings — posting jobs that do not exist, misrepresenting the role, salary, or employer
  • Spam or mass solicitation — sending unsolicited messages to candidates or employers through the platform, including misuse of the Candidate Discovery feature for bulk outreach
  • Data harvesting — scraping, collecting, or storing user data without explicit consent, including candidate profile data accessed via Candidate Discovery
  • Harmful content — uploading malware, viruses, or any content that disrupts or damages the platform
  • Discriminatory listings or outreach — posting jobs or sending employer interest notices that discriminate based on race, gender, religion, age, disability, or any protected characteristic
  • Automated access — using bots or scrapers to access the platform without prior written consent
  • Impersonation — pretending to be another person, company, or ProfCircles itself
  • Illegal activity — using the platform for any activity that violates local, national, or international law

Zero Tolerance: We take a zero-tolerance approach to fraud and abuse. Accounts found in violation will be suspended immediately, and we reserve the right to report illegal activity to the relevant authorities.

Section 07

Payment Terms

Payment for employer job postings is handled securely through Stripe. By making a payment on ProfCircles, you agree to the following:

  • All prices are displayed in USD unless otherwise stated
  • Payments are processed securely by Stripe — we do not store your card details
  • Job post fees are charged per listing and are non-refundable once the listing goes live
  • If a technical error results in a failed posting, we will issue a credit or refund at our discretion
  • Pricing may be updated with reasonable advance notice to registered employers
  • You are responsible for any applicable taxes in your jurisdiction

Section 08

Content Ownership & Intellectual Property

ProfCircles respects intellectual property rights and expects all users to do the same. Here's how ownership works on our platform:

  • Your content is yours — employers retain full ownership of job listings; job seekers retain ownership of their CVs and profile content
  • Platform licence — by posting content, you grant ProfCircles a non-exclusive, royalty-free licence to display and distribute that content across the platform for recruitment purposes, including surfacing candidate profiles through the Candidate Discovery feature
  • ProfCircles IP — our logo, brand, quiz content, code, and design are the property of ProfCircles and may not be copied or used without written permission
  • Moderation rights — we reserve the right to remove any content that violates these Terms, our policies, or applicable law

Section 09

Termination

Either you or ProfCircles may end this agreement at any time. Here's how termination works:

  • You can delete your account anytime from your profile settings — all personal data will be removed per our Privacy Policy
  • We may suspend your account immediately if you violate these Terms, engage in fraudulent activity, or misuse the platform — including misuse of the Candidate Discovery feature
  • We may terminate the platform or specific features with reasonable notice, with no liability to users
  • Upon termination, any active job listings will be removed and outstanding obligations remain in force

If your account is suspended due to a Terms violation, paid job post fees are non-refundable. If you believe a suspension was made in error, contact our team to appeal.

Limitation of Liability

ProfCircles is a platform that connects employers and job seekers. We facilitate connections but are not party to any employment agreement that results from use of the platform.

  • We are not liable for the accuracy or legality of job listings posted by employers
  • We are not responsible for hiring decisions, employment outcomes, or disputes between employers and candidates — including those arising from contact made via Candidate Discovery
  • We are not liable for any indirect, incidental, or consequential damages arising from your use of the platform
  • Our total liability to you for any claim shall not exceed the amount you paid to us in the 12 months prior to the claim

The platform is provided "as is" and "as available." We make no warranties — express or implied — about the reliability or suitability of the service for any particular purpose.

Section 11

Disputes & Governing Law

We hope to resolve any concerns informally first — most issues can be resolved quickly by contacting our support team. If a formal dispute arises:

  • These Terms are governed by the laws of the jurisdiction in which ProfCircles is registered
  • Both parties agree to attempt good-faith resolution before pursuing any legal action
  • Any unresolved disputes shall be submitted to binding arbitration, unless prohibited by applicable law

Changes to These Terms

We may update these Terms from time to time as the platform grows and regulations evolve. When we do:

  • The revised Terms will be published on this page with an updated effective date
  • For material changes, we will notify registered users by email or a prominent notice on the platform
  • Continued use of ProfCircles after the effective date constitutes acceptance of the updated Terms
  • If you do not agree with updated Terms, you must stop using the platform and may delete your account
